Acceptance of these terms

By creating an account or using SportGrade, you agree to these Terms of Service. If you are signing up on behalf of an association or club, you confirm you have the authority to bind that organization to these terms.

Definitions

• Account Holder: the individual or organization that registers for and administers a SportGrade account.
• Association: a sports club, league, or organization using SportGrade across multiple teams or coaches.
• Coach: an individual using SportGrade to evaluate players and generate report cards.
• Player: a youth athlete whose evaluation data is entered into SportGrade by a Coach or Association.
• Parent/Guardian: the recipient of a Player's report card, with no account or login on SportGrade.
• Report Card: the written evaluation output SportGrade generates from a Coach's scores and notes.

Description of the service

SportGrade lets coaches score players against sport- and position-specific evaluation templates. SportGrade generates a written report card from that scoring. The coach submits it, and it is sent by email to the player's parent or guardian. No parent account or login is required.

Accounts

You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Notify us immediately if you suspect unauthorized access.

Subscription and billing

SportGrade is billed at a flat rate in CAD per player, per year.

• An evaluation cycle is any point where player reports are sent to parents.
• The first team is a free trial, limited to one team for one evaluation cycle. When the trial ends, nothing is charged automatically. If you start a new evaluation cycle for the team, your account is billed automatically at $6.50 CAD per player. That one charge covers all further reports for those players during the billing year.
• A card is required at signup.
• Beyond the trial, an account pays for a player as soon as that player is added to a team. Each player is charged once per billing year by each account that includes them. A player on more than one team in the same account is charged once. A player who is in two separate accounts is charged once by each. There is no limit on the number of reports sent for a player during that billing year, and no extra charge for them.
• Your billing year starts on the day your account is created.
• Payment is processed by Stripe. By subscribing, you authorize SportGrade to charge your payment method on file for recurring subscription fees.
• If a payment fails, we email the account holder. The account has 30 days to fix the payment. After 30 days without a successful payment, we may limit access to the account until it is resolved.

Cancellation and reactivation

You may cancel your subscription at any time. Upon cancellation:

• No refund is issued for a per-player fee once it has been charged.
• Report cards already sent to parents remain delivered and are not recalled.
• Your association retains read-only access to past seasons' data in the dashboard for 60 days after cancellation, after which that data is removed from SportGrade's active systems, as described in our Privacy Policy.
• Reactivating a canceled account within the 60-day window restores full access to that data; reactivating after the window does not.

Data ownership

The association or coach owns the data they enter into SportGrade, including player evaluations and report card content. SportGrade acts as a processor of that data on the association's behalf, not as its owner.

Acceptable use

You agree not to:

• Enter player information without the authorization required to do so, including any necessary parental or guardian consent
• Share, export, or use player data outside the purpose of generating and delivering report cards through SportGrade
• Attempt to access another association's or coach's data without authorization
• Use SportGrade to scrape, resell, or redistribute access to the platform

Coaches are responsible for the accuracy of the evaluations and notes they enter.

AI-generated content

SportGrade uses AI (via Anthropic's Claude API) to generate the written narrative portion of each report card from a coach's scores and notes. The coach submits the report, and the parent or guardian receives it by email. AI-generated narrative content can be inaccurate or phrased imperfectly, and we do not guarantee its accuracy. The coach should review each report before submitting it.

Intellectual property

SportGrade's branding, evaluation templates, software, and report card designs are the property of SportGrade. Nothing in these terms transfers ownership of that intellectual property to you.

Termination

We may suspend or terminate an account for violation of these terms. Upon termination, the 60-day data access and deletion timeline described in our Privacy Policy and above applies.

Limitation of liability

SportGrade is provided "as is." We are not liable for coaching decisions, roster decisions, or any other decisions made based on the content of a report card. To the maximum extent permitted by law, SportGrade's liability arising from your use of the platform is limited to the amount you paid us in the twelve months preceding the claim.

Governing law

These terms are governed by the laws of British Columbia, Canada.

Dispute resolution

If you have a concern, email sportgrade@gmail.com first and we will try to resolve it.

Changes to these terms

We may update these terms from time to time. If we make material changes, we will update the date at the top of this page and, where appropriate, notify account holders directly.
